Privacy Statement

The Wood Industry Association (“WIA,” “we,” “us,” or “our”) values your privacy and the following Privacy Policy (“Policy”) covers the collection and use of personal information that may be collected by WIA when you visit our website or when you purchase WIA products and services online. This Policy was created in order to demonstrate WIA’s commitment to the privacy of our participants, members, event attendees, sponsors and exhibitors and website users and governs how WIA collects and uses data, our information practices, including what type of information is gathered, how the information is used and for what purposes, to whom we disclose the information, and how we safeguard your personal information.

INFORMATION COLLECTION

WIA collects a variety of information in order to deliver a superior level of customer service. In order to facilitate online transactions and allow user access to Members-Only features, WIA collects certain information such as names, addresses, telephone numbers, email addresses, membership IDS, and credit card numbers. In addition, your personal information helps us to keep you posted on the latest meetings, products, and events that you might like to hear about.

The WIA website requires you to provide personally identifiable information in order to use certain functions of the site. By providing such information, you consent to WIA's collection and use of it, as described in this Policy.

Here is what we collect and how we use it:

Name: We may use your name to personalize digital and print communications sent to you by WIA, on name badges at WIA programs that you attend and to list on the WIA website and/or newsletter.

Email: Your email address may appear in the WIA online directory. We may use your email to send you communications regarding WIA news, updates, information on programs, products, services, and dues renewal notices.

Mobile Phone: Your mobile phone may appear in the WIA directory if you provide it to WIA as the company contact telephone number. Depending on your communication preferences, WIA may contact you on your mobile phone regarding dues or other WIA information.

Address: We may use your address to deliver communications sent to you by WIA. It may be reported in aggregate (e.g. the number of WIA participants in your state) when reporting on member demographics and analyzing participant trends.

Credit Card Information: Your credit card information is used when purchasing products or services from WIA, including registering for events. WIA collects online payments and works with a third party payment processor.

IP Addresses: We use IP addresses to analyze trends, administer the site, track user movement, and gather broad demographic information for aggregate use.

HOW WE COLLECT PERSONAL DATA

WIA will not ask your permission to collect or use aggregate information about website visitors or users of our products and services, since aggregate data does not identify you as a specific individual.
Information Disclosure.

In general, we may collect personal information through your use of the website(s), any apps, social media, registration platforms or any discussion boards or chat rooms. This includes the collection of IP addresses.

Personal information is also required in connection with registering within the website. In addition, personal information will be requested in connection with membership application, conference registration, event activities and registration, purchasing products or services, requesting additional information, signing up for newsletters, registration for an education program, submitting a program application (e.g., award, certification, etc.), and/or completing the application to be a speaker at a WIA event, or submitting questions through these sites. 

WIA does not knowingly collect or use any personal information from users under 13 years of age. 

WIA takes your privacy very seriously. Be assured that WIA does not sell or rent your e-mail address to other companies. To help us provide superior service, we may share personal information with credit card processing companies, merchants, and any other third party that may need the information for your request to be processed. These organizations have their own privacy and collection practices, and WIA is not responsible for their independent policies. At times we may be required by law or litigation to disclose your personal information. We may also disclose information about you if we determine that for national security, law enforcement, or other issues of public importance, disclosure is necessary.

HOW WE SHARE INFORMATION

WIA may provide personal information to third party agents that have been hired to help provide a request good or service or to facilitate us in providing our services to you. This may include payment processors, association system providers, off-site venues, WIA newsletter publishers, website analytics, participant analyses, membership renewal and/or update on member programs and services. We also share data with exhibitors and sponsors at our conference. Unless directed otherwise at the time of collection, we may also share collected personal information with third parties. Visitors may opt-out from the sharing of collected information by contacting us.

WIA reserves the right to disclose without notice any information in its possession if required to do so by law, to protect or defend WIA’s rights or property, or to respond to any emergency.

WIA understands the importance of minimizing the amount of Personal Identifiable Information (PII) data it maintains and retains such date only as long as necessary. We maintain organizational record retention procedures, which dictate the length of date retention to meet business, legal and operational needs.

HOW TO OPT-OUT OF WIA ELECTRONIC COMMUNICATIONS

We may from time to time send you information about our programs, products, and services via e-mail messages. If you no longer wish to receive our e-mail newsletter or promotional messages, you may opt-out of receiving these communications by following the "unsubscribe" instructions in the e-mail message or contact info@woodindustry.org.

USE OF COOKIES

A cookie is a piece of data stored for varying amounts of time on the user’s hard drive containing information about the user. Like many websites, woodidustry.org uses "cookies" and other technologies to help us understand which parts of the website are the most popular, where our visitors are going, and how much time they spend there. We use cookies and other technologies to study traffic patterns on our website, to make it even more rewarding as well as to study the effectiveness of our customer communications. And we use cookies to customize your experience and provide greater convenience each time you interact with us.

This Policy only addresses WIA’s use and disclosure of your personal information. The WIA website contains links to other sites, so please be aware that WIA is not responsible for the privacy practices of other websites, and WIA is not liable for their misuse of personal information. This Policy applies solely to information collected on our website. We encourage you to be aware that when you go to another website you should carefully read their privacy policy. Links to other sites do not imply WIA’s endorsement of the product or services, or privacy or security practices of those website.

RIGHTS OF THOSE INDIVIDUALS LOCATED IN EUROPEAN ECONOMIC AREA

Under certain circumstances, you may have rights under data protection laws in relation to your personal information.  You have the right to:

Request access to your Personal Information. This enables you to receive a copy of your personal information and to verify that we are lawfully processing it.

Request correction of your Personal Information. This enables you to have any incomplete or inaccurate information we hold about you corrected, though we may need to verify the accuracy of the new information you provide to us.

Request erasure of your Personal Information. You may have the right to request that personal information we hold about you is deleted.

Object to processing of your Personal Information. You may have the right to prevent or restrict processing of your personal information.

Request restriction of processing of your Personal Information. This enables you to ask us to suspend the processing of your personal information in the following scenarios: (a) if you want us to establish the information’s accuracy; (b) where our use of the information is unlawful but you do not want us to erase it; (c) where  you need us to hold the information even if we no longer require it as you need to establish, exercise or defend legal claims; or (d) you have objected to our use of your information but we need to verify whether we have overriding legitimate grounds to use it.

Request the transfer of your Personal Information. Where technically feasible, we will provide to you, or a third party you have chosen, your personal information in a structured, commonly used, machine-readable format.

Withdraw your consent. However, if you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.

WIA will take every precaution to protect your personal information. All personal information collected on individuals will be kept confidential and in a secure environment. Access to personal information will be restricted to only those personnel with a legitimate business purpose. We are committed to taking reasonable efforts to secure the information that you choose to provide us, and we use a variety of security procedures to help protect against unauthorized access to or alteration, disclosure, or destruction of personal information. Except as otherwise provided in this Policy, we restrict access to personal information to our employees, contractors and servicers who need to know the information to operate, develop, or improve our services.

Unfortunately, no transmission of personal information over the internet can be guaranteed to be 100% secure. Accordingly, and despite our efforts, WIA cannot guarantee or warrant the security of any information you transmit to us, or to or from our online services. WIA has no responsibility or liability for the security of information transmitted via the internet. We retain your personal information for as long as your account is active or as needed to provide you services, comply with our legal obligations, resolve disputes and enforce our agreements.

MODIFICATIONS

We may amend this Policy from time to time without prior notice. If we decide to change this Policy, we will post those changes on our home page so our users are always aware of what information we collect, how we use it, and under what circumstances we disclose it, so please review it periodically.
